Refund Policy for Summer Programs

This refund policy applies to all Xtatic programs scheduled for June, July, and August 2026. Please carefully review the deadlines and terms below.

Refund Deadlines

1. Cancellation by January 31, 2026:

  • 100% of tuition paid is refundable.

2. Cancellation between February 1 and April 1, 2026:

  • 50% of total tuition is refundable (excluding the $600 deposit).
  • Alternatively, 50% of tuition and the $600 deposit can be transferred to another Xtatic program in 2026 or 2026.

3. Cancellation after April 1, 2026:

  • Tuition is non-refundable.
  • In the event of a medical emergency or special circumstance, we recommend using your travel insurance.

Terms & Conditions

1. Written Notification:

  • All cancellations must be submitted in writing to Xtatic. Refunds will be calculated based on the date we receive the request. Please note that Xtatic operates on Eastern Standard Time.

2. Refund Eligibility:

  • If Xtatic cannot grant acceptance into the program, 100% of all payments will be refunded, including the deposit.
  • If the full tuition balance is paid on time, and the program is canceled at least 60 days before departure, the family is eligible for a full refund. 

3. Program Modifications & Cancellations:

Xtatic reserves the right to make changes, postponements, or substitutions due to unforeseen circumstances, safety considerations, or emergencies. If Xtatic cancels or alters a program:
  • We will offer a similar program option.
  • If no suitable alternative is available, families will receive credit for a future program, which can be transferred to a sibling or friend.

4. Force Majeure Policy:

  • If the program is canceled or affected by Force Majeure (e.g., natural disasters, pandemics, government actions), Xtatic will strive to provide an alternative program.
  • If no alternative is available, credit will be issued for future participation.
  • Refunds during a Force Majeure event may be granted partially, depending on the overall impact on Xtatic’s operations.

5. COVID-19 or Social Distancing Measures:

In case of COVID-related restrictions, Xtatic may introduce a social distancing surcharge to cover extra costs (e.g., dorming, transportation). Families will be notified of any such surcharge 30 days prior to the start date.

  • If reducing the program duration can offset these costs, we will consult with families before enacting any changes.

On-Program Policies

  • Withdrawal After the Cancellation Date:
    • If a student withdraws from the program due to personal reasons, parental request, or behavioral issues, no refund will be provided. (Medical -related withdrawals may be considered on a case-by-case basis.)
    • Once removed from the program, rejoining will not be permitted, and the removal is final.
  • Participant Responsibilities:
Students must treat program property and materials with care. Participants are liable for any damages to Xtatic equipment or lodging caused by their actions.

 

Recommendation:

We strongly encourage families to purchase travel insurance to safeguard their investment beyond Xtatic’s refund policy.
